Position Summary:

This role is a unique opportunity for a highly organized and detail-oriented individual to play a pivotal role in a leading contemporary art gallery. As Art Fair Coordinator & Sales Assistant, you will manage critical aspects of the gallery’s participation in major international art fairs while providing high-level support to the Sales Director. This position offers exposure to all facets of the art market, including artist relations, exhibition planning, sales strategy, and client development. The ideal candidate is proactive, resourceful, and thrives in a fast-paced environment, with a passion for contemporary art and a deep understanding of the gallery ecosystem.

Responsibilities
  • Oversee logistics for domestic and international art fairs, including applications, booth planning, shipping coordination, and fair materials.
  • Act as a liaison between the gallery, artists, and studios to facilitate exhibition planning, consignments, and special projects.
  • Assist with sales efforts by preparing offers, appraisals, and research reports while maintaining up-to-date sales tools and market data.
  • Coordinate private and institutional viewings, ensuring seamless client and curator experiences.
  • Manage post-sale logistics, including invoicing, shipping coordination, and client follow-ups.
  • Support exhibition production by liaising with vendors, framers, and fabricators to ensure timely and high-quality execution.
  • Maintain the Sales Director’s calendar, coordinate meetings, and oversee scheduling for gallery events and travel.
  • Assist with client outreach, mailings, and special projects to support the gallery’s broader sales and marketing initiatives.

Qualifications:
  • Minimum 3 years of experience in an art gallery, auction house, or art advisory.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Highly organized with strong attention to detail and ability to manage multiple deadlines.
  • Proficiency in Microsoft Office Suite and ArtBase (or similar database).
  • Discretion and professionalism in handling confidential information.
  • A proactive, problem-solving mindset and ability to work independently in a fast-paced environment.

Schedule:  Tuesday – Saturday, 10:00 am – 6:00 pm, with flexibility based on business needs. The role involves travel to art fairs (not expected within the first six months).
